Terms of Service

These Terms of Service ("Terms") govern your use of the MenuMatrix platform. By subscribing to or using MenuMatrix, you agree to these Terms in full. Please read them carefully.

1. The Service

MenuMatrix provides a SaaS allergen compliance and HACCP management platform for UK hospitality operators. The platform includes allergen tracking, AI-generated HACCP plans, Owen's Law conversation logging, temperature monitoring, staff training records and PDF document generation.

2. Operator Responsibilities — Allergen Data

    Critical: The accuracy of all allergen information, menu data and HACCP declarations entered into MenuMatrix is the sole responsibility of the venue operator. MenuMatrix provides tooling and infrastructure only. MenuMatrix accepts no liability for allergen declaration errors, omissions or inaccuracies.
  

The operator warrants that:

All allergen information entered into the platform is accurate and up to date
Named individuals are authorised to input and edit allergen data
A written sign-off protocol exists for allergen data before menus go live
Staff are appropriately trained in allergen awareness
The platform is used in conjunction with, not as a replacement for, professional food safety advice

3. Subscription & Payment

Subscriptions are billed monthly via Stripe
A 14-day free trial is available on all plans — no credit card required to start
Pricing: Starter £79/month (1 venue), Growth £199/month (up to 5 venues), Enterprise POA
Subscriptions renew automatically unless cancelled before the renewal date
No refunds are provided for partial months

4. Cancellation

You may cancel your subscription at any time. On cancellation:

Access continues until the end of the current billing period
Your data is retained for 30 days post-cancellation, after which it is deleted
You may request a data export before cancellation by contacting hello@menumatrix.io

5. Acceptable Use

You agree not to:

Enter false, misleading or inaccurate allergen information
Share login credentials between unauthorised users
Attempt to reverse engineer, scrape or copy the platform
Use the platform for any unlawful purpose
Resell or sublicense access to the platform

6. Uptime & Service Availability

MenuMatrix targets 99.5% monthly uptime. Planned maintenance windows will be communicated in advance via our status page at status.menumatrix.io. See our SLA document for full details.

7. Data & Privacy

Your use of MenuMatrix is subject to our Privacy Policy and Data Processing Agreement. We process personal data in accordance with UK GDPR. Full details at menumatrix.co.uk/privacy.

8. Limitation of Liability

To the maximum extent permitted by law, MenuMatrix's total liability to you for any claim arising out of or relating to these Terms or your use of the platform shall not exceed the total fees paid by you in the 3 months preceding the claim.

MenuMatrix is not liable for any indirect, consequential, incidental or special damages, including but not limited to loss of revenue, loss of data, or personal injury claims arising from allergen declaration errors.

9. Intellectual Property

The MenuMatrix platform, brand, logo and all associated materials are the intellectual property of MenuMatrix. Your data remains your property. We do not claim ownership of any content you input into the platform.

10. Changes to These Terms

We may update these Terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of the platform after that date constitutes acceptance.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
